Frequently asked questions

All staff complete mandatory HIPAA training before handling any patient data. We operate exclusively within HIPAA-compliant communication tools and platforms. A Business Associate Agreement (BAA) is signed prior to any engagement, and all access to your systems is provisioned securely under your own admin controls.
We work within your existing platform — including SimplePractice, TherapyNotes, Kareo, Athena Health, DrChrono, and others. We adapt to your system, not the other way around. If you're unsure whether we support your platform, contact us and we'll confirm.
Most practices are fully onboarded within 5 business days. After a discovery call, we finalize the scope, execute the BAA, and provision access to your systems. Your virtual assistant begins active support as soon as access is confirmed and workflows are agreed upon.
We recommend a minimum 3-month engagement to allow time for your assistant to fully learn your workflows and deliver meaningful results. After that, engagements continue on a month-to-month basis. We can discuss flexible arrangements during your discovery call.
Both. Our Starter tier is designed specifically for solo practitioners and small practices who need reliable admin coverage without the cost of a full-time hire. Our Growth and Enterprise tiers scale to support larger group practices and multi-provider clinics.
Our standard coverage is Monday through Friday during business hours (CST). Extended hours and weekend coverage are available for higher-tier and custom engagements. Coverage hours are agreed upon during scoping and documented in your service agreement.

Any access to Protected Health Information (PHI) is governed exclusively by a signed Business Associate Agreement (BAA) with each client. We maintain HIPAA-compliant administrative, technical, and physical safeguards for all PHI we access or process on behalf of our clients. This Privacy Policy applies to general website visitors and prospective clients. For PHI-specific data practices, please refer to your executed BAA.
